The Payroll Assistant is responsible for assisting with the accurate and timely
processing of payroll for all employees within the organization
Education and Experience
- College Diploma in Accounting & Payroll, plus 5 years work related
experience. - 5+ years of experience in payroll processing or similar administrative role
(experience in payroll or HR is a plus).
Skills/Abilities
- Attention to Detail: Ability to ensure payroll is processed accurately without
errors. - Communication: Strong written and verbal communication skills for responding
to employee inquiries and coordinating with other departments. - Problem-Solving: Ability to resolve payroll discrepancies and other payrollrelated challenges quickly and effectively.
- Organizational: Excellent time management and organizational skills, with the
ability to handle multiple tasks and deadlines in a fast-paced environment. - Payroll Software: Proficiency with payroll software platforms (Sage 300 &
HRMS). - Microsoft Office: Advanced knowledge of Microsoft Excel, including the ability to
work with formulas, data manipulation, and pivot tables. - Data Management: Strong data entry skills and an ability to manage large
volumes of payroll information accurately.
Detailed Responsibilities and Expected Results
Payroll Processing Support:
- Assist in the preparation and processing of bi-weekly and weekly payroll for
all employees (salaried, hourly, temporary, and contract). - Ensure accuracy in the collection, calculation, and input of employee work
hours, overtime and other variable pay components. - Validate employee timecards, attendance records, and leave requests, and
follow up on discrepancies or missing information. - Coordinate with HR to ensure proper payroll setup for new hires,
terminations, and employee status changes (e.g., promotions, pay raises,
job changes).
Payroll Data Maintenance:
- Maintain accurate and up-to-date employee payroll records in the payroll
system. - Ensure that all payroll-related changes (e.g., direct deposit, address
updates) are processed and documented appropriately. - Review and update employee benefits, pension and other related payroll
data as required.
Payroll Compliance and Reporting:
- Ensure adherence to federal legislation and payroll compliance and
regulations. - Respond to government inquiries regarding payroll data.
Employee Payroll Inquiries:
- Serve as the point of contact for employee payroll-related inquiries.
- Resolve discrepancies and issues regarding pay, or deductions promptly
and professionally.
Year-End Payroll Duties:
- Assist with the preparation and distribution of T4s.
- Help coordinate annual reconciliation of payroll records.
Other Duties:
- Assist with setting up new payroll processes, systems, or software updates
to improve payroll efficiency. - Conduct payroll audits to ensure accuracy and identify any discrepancies or
issues. - Stay current on payroll legislation, and best practices.
Other Requirements
- Must have the ability to travel if required;
- Must have good computer skills, with strong knowledge of Microsoft
Word and Excel - Must have Safe Food Handlers Certification or be willing to take it as
soon aspossible - Must provide a satisfactory Criminal Reference Check, current within the
last 12months
